What it's for

Someone else now helps in your business, even a few hours a week, or you plan to bring someone in. It keeps things from falling through the cracks.

What you'll need: About 45 minutes, then a few minutes each week. Google Sheets (free) or Microsoft Excel, or one printed page on the wall. Nothing to buy.

Pairs well with

What you'll leave with

  • Each regular result in your business, with one owner and one backup.
  • What each owner can decide alone, and what they must ask about first.
  • How you'll know it's done, and when you review it together.
  • Flags for results with no backup and reviews that are due, plus a view of how much still sits with you.

How to use it

Work through the steps in order. Each one has a worked example and space to write your own answer.

  1. Open the Start Here tabRead the steps, the color key and the note at the bottom.
  2. Look at the Example tabSee how Tanya set up her yard care business with a helper and a bookkeeper.
  3. Your Turn, the resultsType your name at the top, then list the results that must happen again and again. Write a result, like "Invoices sent within 2 days," not a task.
  4. Your Turn, owners and backupsGive each result one owner and a different person as backup.
  5. Your Turn, limitsWrite what the owner can decide alone and what they must ask about first, using a clear limit.
  6. Your Turn, reviewsWrite how you'll know it's done, pick a review rhythm, and add the date you last reviewed it.
  7. Read the resultsEach week, fix "Needs a backup" and "Review due" first. Then check Who Carries What: if one person owns most results, hand one off.

Tips

  • Share the sheet with your helpers so everyone sees the same version.
  • Talk each owner and backup through their row and agree on it together.
  • This chart shows who is in charge of what. It is not a job contract. If you're paying someone, check the right setup with a qualified professional.
